Access to the student database – Verification of self-declarations (Esse3 PA)

In compliance with the principles of the Digital Administration Code (Legislative Decree of 7 March 2005, no. 82, as amended) and Decree-Law of 9 February 2012, no. 5 (“Simplify Italy”), the Polytechnic University of Bari makes available to Public Administrations and managers of public services, for the performance of their institutional duties, online access to the “Esse3 PA” database.

The service makes it possible to verify substitute declarations submitted by students and graduates of the Polytechnic University of Bari and to consult the related academic records online for the purposes of truthfulness checks.

Service features

• Verification of self-declarations through the “PA Code” shown on the document.
• Verification of academic record data through tax code or personal data.
• Acquisition in XML format (layout agreed with the Police Headquarters) of data relating to non-EU students for the purposes of issuing/renewing residence permits (where applicable).

Accreditation

Public Administrations and managers of public services wishing to access the service are required to sign the open Agreement and submit the required documentation.

1. Download and complete the Agreement and the forms available in the “Documents” section.
2. Save the Agreement in PDF/A format and sign it digitally (Legal Representative or delegate).
3. Send the signed Agreement and the required documentation to the certified email address of the Polytechnic University of Bari: politecnico.di.bari@legalmail.it.

Documentation to be attached

• Certification relating to the payment of stamp duty (to be borne by the User Entity).
• Request form for the accreditation of authorized personnel (signed by the contact person).
• Copy of the identity document (valid) and tax code of the authorized persons.
• In the case of multiple authorized persons: multiple accreditation request (Annex 1).

Once the legitimacy of the User Entity to access the database has been verified, the Polytechnic University of Bari:

• returns to the requesting Entity a copy of the Agreement digitally countersigned;
• communicates the service access credentials to the authorized persons by sending them to the indicated institutional email addresses.

How to carry out the verification

• Access the service and authenticate using the credentials received.
• Carry out the search:
  • through the “PA Code” shown on the self-declaration (with the possibility of downloading the original PDF), or
  • through tax code, or
  • through personal data (first name, surname, date of birth).

Negative outcome or data not available

Please note that the registration of the awarding of the degree may require approximately 15 working days. Therefore, if the information subject to verification is not found, the Entity must:

1. schedule a further verification on the system after at least 15 working days;
2. if the information is still not found in this second verification, contact the relevant Office.

It should also be noted that some degree qualifications obtained before 1995 may not appear in the system. Degree qualifications obtained before the academic year 1990/1991 fall under the responsibility of the University of Bari.
